Review Response Framework

1. 🎯 Response Goals by Review Type

5-Star Reviews:

• Express genuine gratitude
• Reinforce their positive experience
• Encourage word-of-mouth
• Keep it brief

4-Star Reviews:

• Thank them
• Address any "but..." mentioned
• Turn them into 5-star potential

3-Star Reviews:

• Acknowledge mixed feelings
• Address specific concerns
• Show you're working on improvements
• Offer help channel

1-2 Star Reviews:

• Never be defensive
• Apologize for their experience
• Address specific issues
• Offer direct support channel
• Show you're listening

3. 🚫 Never Do This

• ❌ Be defensive or argumentative
• ❌ Blame the user
• ❌ Give excuses
• ❌ Be robotic/generic ("We appreciate your feedback")
• ❌ Ignore specific complaints
• ❌ Promise features you won't deliver
• ❌ Ask them to change their review
• ❌ Copy-paste identical responses

4. ✅ Always Do This

• ✅ Respond within 24-48 hours
• ✅ Use their name if visible
• ✅ Reference specific things they said
• ✅ Be genuinely human and empathetic
• ✅ Provide a way to continue conversation
• ✅ Sign with your name (personal touch)
• ✅ Keep responses concise (under 150 words)

5. 🔥 Handling Special Cases

Bug Reports in Reviews:

Thank you for reporting this! We've identified the issue and a fix is coming in our next update (soon!). We're sorry for the inconvenience. In the meantime, [workaround if any].

Feature Requests:

Love this idea! 💡 We've actually been discussing [feature] internally. Can't promise timelines, but it's definitely on our radar. Thanks for sharing what would make the app better for you.

Unclear Complaints:

6. 📊 Response Priority

High Priority (respond within 24h):

• 1-2 star reviews
• Reviews mentioning specific bugs
• Reviews from users who sound frustrated but salvageable

Medium Priority (within 48h):

• 3-star reviews
• 4-star reviews with concerns
• Feature request reviews

Lower Priority (within 1 week):

• Generic 5-star reviews
• "Great app" with no detail

7. 💪 Turning Negatives into Positives

Sometimes, a thoughtful response leads users to:

• Update their review positively
• Become loyal users
• Email with more helpful feedback
