Process
1. Understand the Context
Ask about:
- Recipient (role, relationship, familiarity)
- Purpose of the email
- Desired tone (formal, friendly, urgent)
- Key message to convey
- Desired action from recipient
2. Apply Email Best Practices
Subject Line:
- Clear and specific
- Action-oriented when appropriate
- Under 50 characters ideal
Opening:
- Appropriate greeting for relationship
- Quick context if needed
- Get to the point
Body:
- One idea per paragraph
- Bullet points for lists
- Bold key information
- Short sentences
- Active voice
Closing:
- Clear call-to-action
- Specific next steps
- Appropriate sign-off
